Essential Functions

Functions and Duties:

·      Maintain comprehensive reports and binders on worksite/participant information that will include, but is not limited to employer orientation forms, worksite agreements, Youth Participants ’Orientations, Youth Participants’ payroll forms, Youth Participants’ job descriptions and uniform requirements, documentation of Youth Participants' hours spent at worksite and programming, worksite visit reports and Worksite Supervisors’ evaluations for Youth Participants.

·      Audit all submitted documents and follow-up on resolving any issues or concerns prior to placement in final binders and/or Youth Participants’ files

·      Create timesheet templates for each Youth Participant and distribute to Program Coordinators

·      Immediately follow-up and resolve any discrepancies with Program Coordinators

·      Input final timesheets in database

·      File final original timesheets in Youth Participants’ files and make copies of final timesheets and keep in final Timesheet Binder

·      Maintain, track and distribute supportive services for Youth Participants

·      Enter data on worksite information and Youth Participants’ information in City Span database

·      Process and track background check screenings for Youth Participants ages 18-24

·      Create and distribute weekly programming sign-in sheets for Program Coordinators for documentation of programming classroom attendance

·      Collect sign-in sheets and place in programming Sign-In Sheet Binder and submit to the Manager of Quality Assurance and Data

·      Answer and triage incoming telephone calls and office visits regarding SYEP from Youth Participants, parents/guardians and Worksite Supervisors

·      Complete administrative tasks such as creating copies of program materials, training materials and other documents on behalf of SYEP

·      Create and maintain mailboxes for each SYEP staff person

·      Create and maintain organized bins of stocked program forms and supplies in the office

·      Serve as the Timekeeper for SYEP staff’s timesheets

·      Place follow-up and reminder telephone calls to Youth Participants and parents/guardians

·      Transport required CHA payroll documents to CHA on a weekly basis

·      Follow-up with Program Coordinators to obtain any missing payroll or required documents

·      Assist the Manager of Quality Assurance and Data in organizing and recording timesheets and processing direct deposit paperwork

·      Assist with payroll distribution

·      Assist the Manager of Quality Assurance and Date with cross referencing E&ES SYEP Report for CHA Program reports

·      Assist with the SYEP Youth Participants ’Orientations

·      Assist Youth Participants and parents/guardians with the completion of online applications and required paperwork

·      Complete weekly audits of Youth Participants’ files according to program compliance standards

·      Participate in weekly SYEP staff meetings

·      Other duties assigned

Skills & Experience

Ideal Candidate Qualifications:

·      Must have a High School Diploma or GED

·      Preferred Bachelor’s degree or higher from an accredited college/university OR related experience

·      Must be able to pass background and drug screening

·      Must possess a valid driver’s license, automobile insurance and reliable automobile

·      Must have proven administrative and data entry experience

Mon - Fri 8:30am - 5:00pm *Evenings & Weekends as needed.
Reporting Relationships

Reports to the SYEP Program Manager and works in collaboration with the E&ES staff.
