Summary/Objective

The Program Support Specialist is responsible for eligibility and data entry of documents into multiple databases. Acts as a support to local Program Manager and other program staff. The Program Support Specialist supports the program by providing outreach services and administrative support at their assigned office. The Program Support Specialist markets services and outreaches clients for specific services and projects.

Essential Functions

The Program Support Specialist (PSS) specializes in accurately and efficiently completing data entry and eligibility documentation. The PSS provides administrative and technical support related to computers, phones and Microsoft office programs to other staff within their office. The PSS is responsible for documenting and issuing client supportive services. The PSS is responsible for answering phones and greeting clients that visit offices. The PSS provides conducts outreach and provides community partners with an overview of program services.

  1. The PSS will utilize excel to complete various reports that will include but is not limited to tracking of documentation received by staff, documentation entered into the assigned database, supportive services received and issued.
  2. Compiling and tracking participant eligibility and enrollment documentation.
  3. Completing timely data entry of documents into the assigned database. Prior to entering documents, the PSS will ensure that each document is completed thoroughly and accurately based on documentation guidelines.
  4. Issuing bus passes and supportive services to clients in accordance with the Supportive Services Policy
  5. Ensuring that office supplies are fully stocked and replenished as needed.
  6. Completing weekly and monthly attendance reports
  7. Maintaining and securing confidential client documentation and supportive services.
  8. Utilizing various outreach methods (in-person, telephone, email/mail correspondence, social media, etc.) to target clients and partners to market services and engage clients in services, with special emphasis on priority populations.
  9. Linking clients to their assigned Family Coach for the coordination of needed services

Skills and Experience

  1. Extensive experience and knowledge of Microsoft Excel and Office Programs
  2. Extensive outreach experience and proven high engagement with Chicago residents
  3. 1-3 years of data entry experience
  4. Communication skills that lend themselves to building effective partnerships with colleagues and clients
  5. Experience working with diverse, at risk, and vulnerable populations
  6. Work well independently and as a team member

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is a field role with a need to perform clerical and administrative duties in a physical office. Role requires an extensive amount of mobility.

Hours of Work

Days and hours of work are Monday through Friday, 8:30 a.m. to 5:00 p.m.

Reporting Relationships

Reports to the Program Manager and works in collaboration with E&ES staff. Will also maintain positive relationships with funding sources and partner agencies.

Education

  1. High School Diploma
  2. Bachelor’s Degree from an accredited College/University preferred
